PlantIT Privacy Statement


Your privacy is important to us, this Privacy Statement has considered the privacy principles under the Privacy Act 2020 in relation to when and how your personal data will be collected, held, and used when using the PlantIT app.

‘We’ and ‘us’ is used for Integral Limited. “Licence owner” and “organisation” are used for the organisation which has a licence to use the PlantIT app. “You” and “your” refers to the PlantIT app user. “The app” refers to the PlantIT app.


If you choose not to accept these permissions, that is your right, however please then do not use the PlantIT app. The PlantIT app is developed and owned by Integral Limited, with rights to use the app licenced to organisations for their business use. These organisations authorise use of the PlantIT app, and the app will only collect the information needed for the legitimate business use of the licence, and will use the following permissions via your mobile device:


Used for permissions that are associated with assessing devices internal storage to create the necessary record for the organisation. This permission allows the application to access the PlantIT directory on the device for the purpose of reading from the database (server) and for storing photos back to the device.

Personal data that is processed when you create a PlantIT account:

When you create an account on the website, we ask you to provide: your work email address, first and last name, work phone and mobile number, which organisation you work for, select the appropriate user type for you, create a user name and a password. To reduce the instances of personal identifying information (PII), you will be advised to not use your first or last name for a user name.

The provided personal data (the password is encrypted) is held on the server so the app and the website can be securely accessed and used; and collected data reports run by the organisation. No further PII is held on the server.


Data stored on the PlantIT app:

Your PII logon details are not stored on the app.

The records held on the app will contain data the licence owner needs to report on and obtained during the use of the app. This will include the GPS of the event created, images taken to add to an event/record (as a transactional temporary record), your user ID, the organisation’s ID, docket number and a locations table containing the ID and description.


General

When you create an account, the system will create an ID that will be associated with all records you create in the app.

The app will sync records created back to the server/database.


Appropriate and reasonable security measures are in place. The stored database of collected data and PII (but not password, this is encrypted) can be drawn upon by the organisation by authorised personnel only for the purpose of their business. We will only access the database on legitimate business purpose where technical support is requested by the organisation (licence owner).

We will not share your PII with third parties.


We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy statement, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).


When we have no ongoing legitimate business need to process your PII on our server, we will either delete or anonymize such information, or, if this is not possible (for example, because your PII has been stored in backup archives), then we will securely store your PII and isolate it from any further processing until deletion is possible.
